What's happening to my email?
Today, depending on where you are in the Department of Medicine, your email service might be provided by ITS, the School of Medicine ISU, SFGH CNS, Medical Center IT, the VA, or even another departmental IT group like PSG. The email consolidation will combine the email services of the School of Medicine ISU, SFGH CNS, Medical Center IT and ITS into a single service. The new service will provide 2GB mailboxes standard, 25MB attachment limits, enhanced webmail across all browsers and platforms, and improved performance and uptime.
Will my email address change?
No, your email address will not change. Once the consolidation is completed, new email addresses will be created using the [First Name].[Last Name]@ucsf.edu format, but departmental and specialty groups will still be able to create email aliases to meet specific business needs.
I had one email address and then I moved to another job and now I have another email address. I have problems getting my mail.

I don't know which email server I'm on. How do I find out?
Because the 4 Exchange email servers are in a single consortium, it's not a simple thing to figure out which email service you use. Here are some details of each service to help you figure out which one you use.

When will the new service be up and running?
The service is in user acceptance testing now, so many pilot groups around campus are using it as their day-to-day email system.
What, exactly, will change?
Mail residing on SFGH, SOM, Medical Center and ITS email servers will be moved to new ITS servers. The web address for webmail (OWA), settings for some email clients, mobile phones and remote devices, and spam gateway addresses will change. Mailbox size will be 2GB, and attachment size limits will be 25MB, for all users.
I hear the new Outlook Web App is pretty cool. Can you tell me more about the new features and enhancements?

When will my email account move to the new server?
The timeline is still being finalized, but here are the tentative dates:

Will I get any warning before my mailbox is moved?
Yes, you will receive several reminders about the move in the days and weeks before it happens.
Will I have to change any email client settings?
If you currently use the MedCenter or SOM email service, then yes, your email client settings will change. So will your webmail and spam gateway addresses. Specific settings changes will be communicated shortly.
Is my computer ready?
The new email server supports Outlook 2007 or later for Windows, Entourage 2008, Outlook 2011 or Apple Mail 4 or later for Macs. A list of client requirements is available here: http://its.ucsf.edu/main/projects/email_consolidation/desktop.html. Older computers may need to be replaced to meet these requirements, or limited to web access only.
I'm at the VA. Will my email be affected?
If you use the VA email service your email will not change. If you use a UCSF email service then refer to the rest of this FAQ.
